Terms and Conditions for Volunteers

IMPORTANT NOTICE: PLEASE READ THESE TERMS CAREFULLY BEFORE VOLUNTEERING. BY SUBMITTING A VOLUNTEER APPLICATION OR PARTICIPATING IN ANY VOLUNTEER ACTIVITY, YOU AGREE TO BE LEGALLY BOUND BY THESE TERMS AND CONDITIONS IN THEIR ENTIRETY.

1. Parties and Agreement

These Terms and Conditions for Volunteers (“Volunteer Agreement”) constitute a legally binding agreement between Relief Alliance, Inc. (“Relief Alliance,” “Organization,” “we,” “us,” or “our”), a Florida nonprofit corporation (EIN: 99-5000564), and the individual agreeing to volunteer (“Volunteer,” “you,” or “your”). This Volunteer Agreement governs all volunteer activities performed on behalf of or in connection with Relief Alliance, including but not limited to community outreach, program support, administrative assistance, event staffing, mentorship, coaching, tutoring, and any other service provided without compensation.

2. Volunteer Status and Non-Employment

Volunteers are not employees, agents, contractors, or representatives of Relief Alliance. No volunteer activity creates an employment relationship, entitlement to compensation, benefits, workers’ compensation coverage (unless separately provided by applicable law), or any other employment right. Relief Alliance reserves the right to accept, reject, reassign, suspend, or terminate any volunteer at its sole and absolute discretion, with or without cause and without prior notice.

3. Background Checks and Eligibility Requirements

Relief Alliance reserves the right to require, as a condition of volunteering, the successful completion of a criminal background check, reference verification, identity verification, and any other screening process deemed appropriate by Relief Alliance in its sole discretion. Volunteers who will work directly with Minors (individuals under the age of 18) are required to complete a comprehensive background screening prior to any such contact, and must comply with all applicable federal and Florida state laws governing interactions with Minors, including but not limited to mandatory reporting obligations under Florida Statute Section 39.201.

Volunteers must be at least 18 years of age, or if between the ages of 14 and 17, must have written parental or guardian consent and must be supervised at all times by a designated adult volunteer or Relief Alliance staff member. Volunteers under the age of 14 are not permitted.

4. Assumption of Risk and Release of Liability

VOLUNTEER ACKNOWLEDGES AND AGREES THAT VOLUNTEER ACTIVITIES MAY INVOLVE INHERENT RISKS, INCLUDING BUT NOT LIMITED TO: PHYSICAL INJURY; EXPOSURE TO COMMUNICABLE DISEASES; CONTACT WITH INDIVIDUALS EXPERIENCING HOMELESSNESS, MENTAL ILLNESS, OR SUBSTANCE USE DISORDERS; EXPOSURE TO HAZARDOUS ENVIRONMENTS; AND OTHER RISKS ASSOCIATED WITH COMMUNITY SERVICE WORK. VOLUNTEER VOLUNTARILY AND KNOWINGLY ASSUMES ALL SUCH RISKS.

TO THE FULLEST EXTENT PERMITTED BY APPLICABLE LAW, VOLUNTEER HEREBY RELEASES, WAIVES, DISCHARGES, AND COVENANTS NOT TO SUE RELIEF ALLIANCE, INC., ITS OFFICERS, DIRECTORS, EMPLOYEES, AGENTS, CONTRACTORS, PARTNERS, SPONSORS, AND SUCCESSORS (COLLECTIVELY, “RELEASED PARTIES”) FROM ANY AND ALL LIABILITY, CLAIMS, DEMANDS, ACTIONS, AND CAUSES OF ACTION ARISING OUT OF OR RELATED TO ANY LOSS, DAMAGE, INJURY, OR DEATH THAT MAY BE SUSTAINED BY VOLUNTEER WHILE PARTICIPATING IN VOLUNTEER ACTIVITIES, WHETHER CAUSED BY THE NEGLIGENCE OF THE RELEASED PARTIES OR OTHERWISE.

5. Indemnification

Volunteer agrees to indemnify, defend, and hold harmless the Released Parties from and against any and all claims, damages, losses, costs, and expenses (including reasonable attorneys’ fees) arising out of or related to: (a) Volunteer’s participation in volunteer activities; (b) Volunteer’s breach of this Volunteer Agreement; (c) Volunteer’s violation of any applicable law or regulation; (d) Volunteer’s negligent or intentional misconduct; or (e) any claim by a third party arising from Volunteer’s actions or omissions during volunteer activities.

6. Conduct Standards and Code of Ethics

Volunteers must at all times: conduct themselves in a professional, respectful, and compassionate manner; comply with all Relief Alliance policies, procedures, and directives; maintain strict confidentiality regarding program participants, donors, and organizational information; refrain from any form of harassment, discrimination, abuse, or exploitation of any person, particularly Minors and vulnerable adults; not engage in any activity that could create a conflict of interest or that could harm the reputation of Relief Alliance; not make representations or commitments on behalf of Relief Alliance without express written authorization; and report any suspected abuse, neglect, or exploitation of program participants to Relief Alliance leadership and to appropriate authorities as required by law.

7. Confidentiality and Intellectual Property

All information obtained by Volunteer in the course of volunteer activities, including information about program participants, donors, organizational strategies, financial information, and operational methods, is strictly confidential and may not be disclosed to any third party without the prior written consent of Relief Alliance. Any work product, creative content, photographs, videos, or other materials created by Volunteer in connection with volunteer activities shall be the sole and exclusive property of Relief Alliance, and Volunteer hereby assigns all intellectual property rights therein to Relief Alliance.

8. Community Service Hours

Relief Alliance may, upon request, provide documentation of volunteer hours for purposes of community service verification. Such documentation is provided as a courtesy only. Relief Alliance makes no representation, warranty, or guarantee that volunteer hours or certificates of participation will be accepted by any school, court, organization, employer, or other entity for any particular purpose. The acceptance of volunteer hour documentation is solely at the discretion of the receiving organization, and Relief Alliance expressly disclaims any liability arising from the non-acceptance of such documentation.

9. Photography and Media Consent

By participating in volunteer activities, Volunteer grants Relief Alliance a perpetual, irrevocable, royalty-free, worldwide license to use Volunteer’s name, likeness, image, voice, and biographical information in connection with Relief Alliance’s promotional, educational, and fundraising materials, including but not limited to website content, social media, print publications, and broadcast media, without further compensation or approval.

10. Governing Law and Dispute Resolution

This Volunteer Agreement shall be governed by and construed in accordance with the laws of the State of Florida, without regard to its conflict of law provisions. Any dispute arising under or related to this Agreement shall be resolved exclusively through binding arbitration administered by the American Arbitration Association in accordance with its Commercial Arbitration Rules, with proceedings to be conducted in Orange County, Florida. Volunteer waives any right to participate in a class action lawsuit or class-wide arbitration against Relief Alliance.

11. Severability and Entire Agreement

If any provision of this Volunteer Agreement is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect. This Agreement constitutes the entire agreement between the parties with respect to volunteer activities and supersedes all prior understandings, representations, and agreements.

This Privacy Policy describes how we collect, use, share, and protect personal information obtained through our website, events, communications, and any interaction with members, donors, and the general public. By using our services or submitting personal information to us, you agree to the terms of this Privacy Policy.

We consider all members and donors part of the Relief Alliance Family, and we honor your trust with transparency and responsibility.

We may collect the following types of personal information:

  • Contact Information: Name, email address, phone number, and mailing address
  • Payment Information: Billing address and payment method (processed securely via third-party providers)
  • Membership Details: Tier level, join date, activity participation, and preferences
  • Donation History: Dates, amounts, and frequency of your contributions
  • Demographic or Professional Information: As voluntarily provided (e.g., nonprofit affiliation, business title, social media handles, etc.)
  • Communications: Emails, messages, testimonials, and media you submit voluntarily
  • Usage Data: When you visit our website, we may collect anonymized technical data like browser type, IP address, referring pages, and session information via cookies or analytics tools
  1. How We Use Your Information

We use the personal information you provide for purposes including but not limited to:

  • Processing and acknowledging donations and memberships
  • Providing receipts and tax documentation
  • Delivering benefits and services associated with Relief Alliance membership
  • Sending newsletters, updates, event invitations, and fundraising appeals
  • Managing member profiles, media opportunities, and award nominations
  • Publicly recognizing your support, unless anonymity is requested
  • Complying with legal obligations and financial reporting standards
  • Improving website functionality and communication effectiveness

Relief Alliance does not sell, rent, trade, or disclose personal information to third parties except in the following limited circumstances:

  • With authorized service providers (e.g., payment processors, CRM systems, email marketing platforms) who assist us in operations and agree to protect your information
  • With partners or affiliates (e.g., event hosts, award committees, or red-carpet collaborators) strictly to facilitate opportunities you have chosen to engage with
  • When required by law, subpoena, or court order
  • To protect our legal rights, safety, or property, or those of others

All shared information is limited to what is necessary and shared only with trusted partners under confidentiality or data protection agreements.

  • You may request to update, correct, or delete your personal information by emailing us at info@reliefalliance.org.
  • You may request that we do not publicly recognize or display your name or likeness by submitting a privacy request in writing.

Note: Even if you opt out of promotional emails, we may still send you non-promotional administrative messages related to your donations, membership, or legal obligations.

  • Partnering only with reputable third-party providers that meet security compliance standards

While no method of transmission over the Internet or electronic storage is 100% secure, we strive to use commercially reasonable means to protect your data.

Relief Alliance does not knowingly collect or solicit personal information from individuals under the age of 13 without verified parental consent. If we learn that we have inadvertently collected such information, we will delete it promptly. Parents or guardians who believe their child may have submitted personal information should contact us at info@reliefalliance.org.
